Oral Presentation Guidelines

All speakers attending the conference are kindly asked to prepare a presentation according to the following guidelines.

PRESENTATION LENGTH

  • Speakers selected from the abstract submission: 7 minutes + 1 minute for Q&A
  • Invited speakers: 10 – 45 minutes, depending on the plenary session

 PRESENTATION FORMATTING

​All oral presentations must be accompanied by a PowerPoint presentation. Presenters are fully responsible for the presentation content (order, graphics, etc.). Presentations must be delivered in English.

To prepare your presentation, please use an up-to-date version of Microsoft PowerPoint (but older versions are also supported). The screens’ aspect ratio will be 16:9. Please avoid using Apple Keynote and Prezi presentations. The on-site computers will handle Windows versions of PowerPoint only.

Please make sure your presentation is in a compatible format as indicated below.

Supported Files

  • Presentation: PPTX, PPT, PDF
  • Video: AVI, MPG, MKV, MOV, MP4, WMV
  • Audio: WMA, MP3, WAV
  • Pictures: JPG, GIF, BMP, TIF

Do not forget, when saving your final presentation on a USB stick, to make sure that you included your video or multimedia files (if any). Kindly note that the presentation computers will not have internet access, so any external content should be embedded directly in the presentation.

Disclosure Slide

Disclosures apply only to Educational speakers (Educational Sessions) and Invited speakers (Scientific Meeting).

Presenters need to include a disclosure slide.

o   Disclosure slide should be after the presentation title slide

o   Disclosure slide should have a personal disclosure statement (if you have or do
not have any conflict(s) of interest) and whether or not your presentation will include off-label product use references as noted below.

If no disclosures:

  • I have no relevant financial relationships to disclose and my presentation will/will not include off-label or unapproved product usage in the presentation.

If presenters have relevant financial relationships to disclose:

  • I have the following relevant financial relationships with ineligible companies, and these financial relationships have been mitigated:

(List of relationships) E.g.: Consultant – Varian

  • My presentation (will/will not) include off-label or unapproved product usage in the presentation.

FILE UPLOAD

Your presentation needs to be handed over to the personnel in the SPEAKERS’ READY ROOM on a USB flash drive as soon as possible, but no later than TWO HOURS BEFORE the start of your session.

Presentations for an early morning session should be handed over the evening before.

The A/V personnel will upload your presentation and you will be able to check that the presentation is operating correctly.

If you are late, we cannot guarantee the file upload.

Please note that it is not possible to present from your personal computer in the lecture room. All presentations must be uploaded in the Speakers’ Ready Room.

Thursday: 7:45 – 17:00

IN THE LECTURE ROOM

In the lecture room, you will be assisted by a hall assistant who can show you how to operate your presentation, remote control, pointer, etc. Please come to the lecture room shortly before the session starts and be ready when it is your turn to present to minimise wasted time. You should be in the lecture room prior to your appointed time in case there are last-minute changes during the session (e.g. cancelled presentation before your talk).

STORING OF PRESENTATIONS

Please note that all presentations delivered during the conference may be published on the PTCOG association website for members. The presentations in the Educational Sessions will be video recorded. Publication depends on your authorization provided during the file upload. Presentations will be converted to pdf files after the conference.  If you need to do something special for the pdf file, please also provide a pdf file on your USB drive.
